Melco Embroidery Machine Buying Checklist: I Made These Mistakes So You Don’t Have To

If you’re looking at a Melco Summit embroidery machine and trying to decide whether to pull the trigger, this checklist is for you. It’s also for the person who’s about to search “Melco EMT16X price,” see a number, and then compare it to three cheaper machines without thinking about everything else. Use this when you’ve already decided to move beyond a single-needle hobby machine and you’re comparing commercial multi-needle systems. It helps if you have an order volume in mind. It helps more if you’re willing to walk away when the deal isn’t actually a deal.

There are six steps. The first one is the most uncomfortable. It’s also the one that saves the most money.

Step 1 — Calculate total cost of ownership, not sticker price

The first time I priced a multi-needle machine, I made a spreadsheet with one column: purchase price. “The Melco EMT16X price is X,” I told myself, “and the other machine is Y. Done.” Then the machine arrived and I spent nine months discovering what I left out.

Here’s the rough math I use now for any commercial machine:

Step 2 — Verify what’s actually in the quoted package

Here’s something vendors won’t tell you directly: the package price can change by thousands just by how they define “complete.”

In my first year (2017), I signed a quote that said “includes standard setup.” I assumed that meant software, a table design, and at least one hoop that fit our main cap order. It didn’t. My total: $800 in unnecessary add-ons and an 11-day delay while I argued about it.

Ask for the itemized list before you ask for the discount. Specifically:

  • Does the price include the Melco Creator software or a comparable digitizing package?
  • Does it include a cap frame? A lot of “complete kits” don’t.
  • Does it include an initial box of stabilizer for test runs?
  • Does it include on-site installation or just a phone call?

What most people don’t realize is that “setup” sometimes just means “we unbox it and make one sample.” The extra training is always discussed in a separate meeting, and it always costs more.

Step 3 — Test the machine with your fabrics and your stabilizer

This is the step I now refuse to skip. The stabilizer embroidery machine system—the combination of backing, top tension, and fabric—is where most quality issues come from.

In September 2022, I ran a $3,200 job on a machine I was evaluating. The dealer-supplied demo was beautiful. The fabric was mid-weight twill and the stabilizer was theirs. When we ran the same design on our own polyester caps with the exact backing we use in production, the result was a mess. Gaps, puckering, and three needle breaks. Bring three things to every demo:

  1. The exact fabric you’ll run most — caps, denim, performance wear, whatever.
  2. The stabilizer you actually use in production.
  3. A dense design with small letters.

If a dealer won’t let you run your own stuff, that’s information too.

Also, be careful with loud marketing language. Per FTC guidelines (ftc.gov), claims like “no breakdowns” or “cuts production time by half” have to be truthful and substantiated. I didn’t ask for substantiation in 2017. I asked if the machine was “maintenance-free.” The answer was no, because it’s an embroidery machine, not a printer. (Note to self: don’t trust the word “complete” either.)

Step 4 — Count hoops before you count needles

If you’re buying a Melco Summit or an EMT16X, you’re probably buying 16 needles. But the needle count doesn’t matter if the hoops don’t fit your production.

When I ordered our second machine, I priced an extra set of hoops. Then I cut that line item to save $600. Two weeks later, I was hand-hooping slow-moving orders and fighting a 5-inch cap frame that didn’t sit square. That mistake alone caused a 1-week delay and cost me more than the $600 in overtime.

A lot of those emergencies came from not having the right hoop or frame. When I finally bought the right hoops, the panic dropped. Step 5 — Map your software workflow before you buy

The most underrated part of a modern embroidery machine is the software. If you don’t use it, the machine is just a fancy sewing device.

There’s an old belief that you need to master hand punching before you can run a commercial unit. That thinking comes from an era when digitizing tools were primitive and expensive. Before you commit, ask these software questions:

  • Which file formats are included in the price?
  • Can you digitize or edit directly in the included tool?
  • How long is training video access good for?
  • Is there a subscription fee after the first year?

I learned to hate the phrase “It’s easy.” If the dealer has to say it, it probably isn’t.

Step 6 — Plan for service before you need service

The last step is the one buyers ignore until it’s 4 p.m. on a Wednesday and there are 30 caps left to stitch. What happens then?

Check the actual service options. Is there a local technician? What’s the typical response time? If the technician can’t come until Friday, is there a backup machine or rental hoops available? Do you have spare needles, bobbin cases, and thread break sensors in stock?

In Q1 2024, after the third reject in one week, I created a pre-call checklist for our team. We now diagnose basic issues before calling support. That checklist caught 47 potential errors in the last 18 months, and it dramatically reduced our “waiting for tech” time. This type of planning is boring, but it’s what separates a commercial machine owner from someone who just bought a machine.

Common mistakes I’ve made so you don’t repeat them

If you only remember three things from this article:

  1. The lowest quote is rarely the cheapest outcome. When I compared our Q1 and Q2 results side by side—same order types, different equipment decisions—the machine that cost less upfront required $1,900 in extra hoops and training in the same quarter.
  2. Stabilizers are part of the machine system, not a supply-store afterthought. Don’t let anyone tell you the choice of backing doesn’t matter. It does, and sometimes it changes the decision.
